Google is rolling out a new Gemini feature for Google Calendar that suggests optimal meeting times based on attendees' availability. When creating an event, users can select "Suggested times" and Gemini will scan calendar data to propose slots that work for most participants. If invitees decline, the tool can quickly recommend an alternative time. The feature is currently limited to paid Google Workspace Business and Enterprise plans, as well as Google AI Pro for Education users, and is being released to Rapid Release domains before expanding to Scheduled Release domains.
Feature Overview
Google has added a Gemini-powered capability to Google Calendar aimed at simplifying the process of finding suitable meeting times. By clicking the "Suggested times" option during event creation, the system leverages Gemini’s AI to analyze the availability marked on participants' calendars and identify potential conflicts. The result is a list of time slots that are most likely to accommodate all attendees, allowing the organizer to select the best option with a single click.
How It Works
When a user initiates a new meeting invitation, the Gemini feature accesses the calendar data of the listed participants—provided the organizer has the necessary permissions to view those calendars. Gemini then cross‑references each person’s free and busy periods, generating a shortlist of recommended times. If the chosen slot is later declined by multiple invitees, the organizer can revisit the event, and Gemini will again evaluate the calendars to suggest an alternative time when everyone is available, streamlining the rescheduling process.
Limitations
The functionality depends on the organizer’s ability to view attendees’ calendars, meaning it works best within organizations where calendar sharing is common. Additionally, the feature is currently restricted to paid users on Google Workspace Business (Standard and Plus) and Enterprise (Standard and Plus) plans, as well as those with the Google AI Pro for Education add‑on. Users on free plans or without the required permissions will not have access to the Gemini suggestions.
Availability
The Gemini scheduling tool is already live for domains on the Rapid Release track. Google plans to extend the rollout to Scheduled Release domains on February 2, gradually expanding access to a broader set of customers. As the feature matures, Google may adjust eligibility criteria or add new capabilities based on user feedback.
